Project Coordinator – International EU Research Infrastructure Projects

About the role

This is a 6-month consultancy assignment (at 75% FTE) starting in October 2026, with an opportunity to work with a world-leading research infrastructure facility in Lund. The role offers hybrid working flexibility alongside potential occasional travel within Europe for collaboration.

As a Project Coordinator, you will play a pivotal role in supporting the implementation of major EU-funded research projects, primarily focusing on the RIANA project as well as supporting follow-up on other EU initiatives. You will join the facility's central User Office, coordinating the user access workflow from application intake and peer review through to scheduling, data management, and event organization across European partner facilities.

Work tasks

This role involves coordinating and administrating complex EU research projects, focusing on supporting user access, managing project documentation, and facilitating international collaboration through event organization and administrative follow-up.

• Coordinate User Access Workflows: Oversee and track proposal management from application submission and review to facility scheduling and post-access follow-up.
• Data & System Administration: Maintain high accuracy in proposal tracking, data handling in Excel, and administration within web-based management systems.
• Stakeholder & Partner Communication: Serve as a central, responsive point of contact for scientific staff at partner organizations, researchers, and external users.
• Project Documentation & Reporting: Meticulously track deliverables, manage project documentation, and compile structured input for EU project reporting.
• Event & Meeting Coordination: Lead or support the organization of international collaboration meetings, workshops, and associated administrative tasks (such as travel/reimbursement handling).

We are looking for

• Very high proficiency in English (spoken and written, equivalent to Europass C1–C2 level).

• Demonstrated experience as a project coordinator, research administrator, or in a similar complex administrative role.

• Proven experience working in collaborative projects, particularly within project administration and workflow tracking.

• Meticulous documentation skills and a structured, reliable approach to organizing complex workflows.

• Strong command of office tools, including advanced data handling in Excel, and experience with web-based administration systems.

• Ability to manage multiple tasks and prioritize in a deadline-driven environment

• Strong communication skills and ability to work with international stakeholders

It is meritorious if you have

• Experience from EU-funded research projects (e.g., Horizon Europe) or bi-/multilateral international collaborations.
• Master’s degree in a relevant academic field.
• Experience organizing international collaboration meetings, workshops, or academic events.
• Proficiency in written and spoken Swedish.
