Executive Administrative Assistant to Major International Investment Bank

About the role

This role involves undertaking a wide range of Executive Assistant duties for a team of stakeholders, requiring a high level of confidentiality, a strong work ethic, and a pragmatic approach. You will be the central point of coordination, interacting with internal and external clients and international colleagues, ensuring seamless administrative support.

Work tasks

• Proactively manage complex diaries to facilitate swift client meeting arrangements.
• Handle a high volume of complex emails efficiently where applicable.
• Serve as a client-facing representative, managing internal and external interactions.
• Organize and set up meetings, conference calls, and Zoom sessions.
• Finalize intricate travel plans, including coordination of flights, visas, and accommodation.
• Oversee expense processing, including reimbursements and account reconciliations.
• Utilize internal systems for accurate data entry and information collation for senior management.

We are looking for someone with

• Expert EA Experience: Significant background supporting multiple stakeholders in fast-paced environments.
• Master Coordinator: Advanced skills in complex diary, travel, meeting, and email management with sound judgment.
• Proactive Communicator: Fluent English with expertise in executive communication and stakeholder relations.
• Operational Excellence: High-level multitasking, expense management, and a detail-oriented approach to quality.
• Dynamic Ownership: A collaborative team player who takes initiative and excels at prioritization.

It is meritorious if you have

• Experience from international banking or finance is highly valued. We look for candidates with organizational acumen, professional-level Swedish, and proficiency in Concur.
